Rolldark Data Management Policy
When you employ a Rolldark Game Master, your contact details will be provided to the GM for them to make contact.
It is expected that any D&D group will have communication between the group and the GM, before, during and after the game. Rolldark GMs use a variety of methods, including (but not limited to) WhatsApp, email, Facebook etc.
Your GM will confirm with you that you are happy for your details to be shared with your group. If you do not wish your details to be shared, you can sit out of any group discussions. Please make us and the GM aware of this at time of your first booking.
When playing a D&D game online, Rolldark GMs use a variety of online tools, including (but not limited to) Roll20, Foundry, Zoom, Google Meet, Discord. If you do not wish your details to be made public to your group, it is your responsibility to ensure you use an alternative identity (email address etc.) Speak to your GM if you have any concerns.
Rolldark do not keep any of your private information for longer than necessary. Once you are no longer a player with Rolldark, and at your expressive wish, your information is securely deleted.
Rolldark Ltd trading as Rolldark Game Master Agency of 8 Seymour court, Muswell Hill, London N10 1EB (“We” “our”, “us”) manage and administer this website. For the purposes of the Data Protection Act 1988 (as amended) and the General Data Protection Regulation 2016/679, our ultimate owner Rolldark Ltd is the “data controller” in respect of the Personal Data (as defined below) submitted by you when you visit our website www.rolldark.co.uk or our Facebook page and Instagram account (the “Website” and the FB/Instagram pages) and we are the “data processor”. In this privacy policy “Rolldark” means us, Rolldark Ltd company number1 2809127 trading as Rolldark Game Master Agency, our subsidiaries or holding companies from time to time and any subsidiary of any holding company from time to time (as subsidiary and holding company are defined in s.1159 Companies Act 2006).
This privacy policy sets out the fair and lawful basis upon which we collect and process personal data.

Depending on the page of the Website you visit, we may ask you to provide details of your name, telephone number, address, email address.
Submissions Information
On our section “GM Submissions”, we request an email from potential Game Masters wishing to work with us as freelancers. We will request email address and telephone number together with the Game Master’s location and address.
Interests Information
Personal interests, preferences, feedback and survey response(s).
Event information
By purchasing an event ticket to one of our in-person events, you expressly permit Rolldark ltd to publish any images taken of you or other attendees with which you have purchased a ticket on their behave. And give permission to use the images, with which you are featured, across all Rolldark advertising and social media channels. This is not limited to print, digital or online and includes images of minors unless a request from a parent or guardian is received.
HOW WE COLLECT PERSONAL DATA
We receive information including Personal Data about you in three ways: (i) you may provide us information; (ii) we may collect information about you in the course of your visiting our Website; and (iii) third parties may provide us information about you where you have given them consent to do so.

- Where you submit Employment Information in order to apply for a position with us and for us to review your application;
- Where you submit application Information in order for us to review working with you in a freelance capacity as a Professional Dungeon Master;
- Where you submit Contact Information and have entered a competition or other marketing initiative which requires such information in order the initiative to be operated.
Where you provide us with Contact Information, Submissions Information and/or Interests Information, you confirm your consent to us sharing such Personal Data with other Group Companies for the purposes of Rolldark Game Master Agency being able to contact you in relation to services/activities that we think you may be interested in based on your usage of our Website. If you wish to be removed from any Rolldark Game Master Agency mailing list that is used for marketing purposes, please email info@rolldark.co.uk

Our website contains a cookie like piece of code from Facebook. This is so that we can show you adverts we think you will be interested in when you are using Facebook based on the information you see on our Website. Stored for up to 30 days.
STRIPE Purpose of cookie is to keep you logged in whilst you complete your transaction. Stored only during the transaction.

You have legal rights (i) to make a “subject access request” to access your Personal Data; (ii) to request and be given your Personal Data in machine readable format for the purposes of your passing such data to third parties; (iii) to request rectification or removal of your Personal Data; and (iv) to object to processing of your Personal Data and/or to have its processing restricted. You can withdraw your consent to receive marketing messages at any time. In relation to subject access requests, we will respond as soon as possible but no longer than one month after such request is received. We will store and process your Personal Data only for as long as is reasonably necessary for us to perform the services/activities we are undertaking and to comply with our legal obligations.
